POSITION SUMMARY
The Manager of Donor Engagement & Events plays a key role in advancing the OKCPHIL’s fundraising efforts. This position provides significant leadership in special event planning, while supporting donor identification, cultivation, stewardship, and solicitation to achieve fundraising goals.
The ideal candidate will be experienced in handling a wide range of development, executive support, and administrative tasks and will be able to work independently with minimal supervision. This person must be exceedingly well organized, flexible, and enjoy the challenges of supporting an evolving performing arts organization. They will participate in a wide range of projects. Crucial to this role is the ability to interact with the board, patrons, donors, volunteers, and community partners. Must be a team player and able to thrive in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, and doing so with a high level of professionalism and confidentiality.
DUTIES & RESPONSIBILITIES
Fundraising and Donor Stewardship Events (Primary Focus)
- Lead and support logistics for fundraising events, donor stewardship events, and affiliate group events
- Provide strategic and day-to-day support to the Maestro’s Ball and Symphony Show House committees to ensure successful events
- Plan and host Conductor’s Circle, the donor lounge during subscription concerts, including guest experience, volunteers, and setup
- Prepare agendas, distribute volunteer sign-ups, track action items, and ensure all event components are executed professionally
- Provide support, guidance, and training to volunteers during events, concerts, and related activities
Donor Relationships
- Assist with donor cultivation and stewardship for major fundraising campaigns and yearly giving initiatives
- Schedule donor meetings and stakeholder engagements on behalf of the Development Team
- Solicit in-kind donations and sponsorships to support fundraising events
- Cultivate donor prospects for annual support and/or specific programs
- Support the promotion, tracking, and reporting of annual fundraising campaigns
- Coordinate special projects with internal staff, external collaborators, vendors, and consultants
Communications
- Prepare content for donor communications, quarterly newsletters, annual reports, board reports, and affiliate group updates
- Coordinate the mailing and electronic distribution of appeals, invitations, stewardship updates, and other communications
- Prepare email correspondence to recruit volunteers for concerts, events, and education programs
- Assemble proposals, donor kits, and presentation materials for solicitations and meetings
Recordkeeping & Departmental Support
- Maintain accurate mailing lists and detailed donor biographical and financial information in donor management CRM
- Prepare donor acknowledgment letters, receipts, and annual end-of-year statements
- Utilize the CRM system to support donor engagement, track interactions, and manage event data and results
- Assist with invoicing, grant reporting, letter writing, data entry, and tracking processes
- Maintain volunteer records and prepare timely statistical and activity reports on volunteer participation
- Organize physical and digital files for efficient access and audit readiness
Other
- Perform other duties as assigned by the Director of Development and Executive Director
Requirements
EDUCATION AND EXPERIENCE
- Bachelor’s degree preferred
- Experience working in a nonprofit organization, especially in development, events, or communications
- Proven attention to detail and accuracy in administrative tasks and data management
- Excellent interpersonal and communication skills; able to engage effectively with staff, patrons, donors, volunteers, and community partners
- Highly accurate data entry skills and strong organizational abilities
- Collaborative team player who enjoys working in a fast-paced, mission-driven environment
- Strong writing and editing skills, with the ability to craft compelling outreach letters and donor communications
- Proficiency with spreadsheets, database systems, and CRM platforms
- Experience with Bloomerang and Emma preferred
PHYSICAL DEMANDS
- Ability to sit and stand for extended periods, and walk, bend, and reach to access files/storage and office equipment
- Set up tables, chairs, and equipment, occasional use of a ladder
- Frequent computer use for extended periods
- Ability to communicate orally with patrons, vendors, management, and coworkers
- Regular use of phone and email for communication
- Hearing and vision correctable to within normal ranges for normal conversations, receiving ordinary information, and preparing or inspecting documents
- Some lifting is expected, occasional exertion of about 25 lbs. of force (e.g., picking up boxes, packages, floral arrangements, tables and chairs, and other décor items) may be required
- Manual dexterity is required to use common office equipment (e.g., computers, mobile devices, calculators, copiers, scanners)
