Position Overview
The Executive Operations Manager is an operational role supporting the CEO across multiple affiliated organizations. This position serves as the central coordination hub for executive priorities, governance processes, enterprise projects, and organizational systems.
This is a high-trust, high-capacity operational position that blends executive support, project management, governance assistance, policy development, and cross-organizational coordination. The role exists to create structure, momentum, clarity, and execution across a complex multi-entity environment.
The Executive Operations Manager acts as an extension of the executive leadership, translating vision into systems, priorities into action, and complexity into organized, executable work.
Core Responsibilities
Executive & Strategic Operations
- Manage and coordinate the CEO’s operational priorities across PFM, Francis House, and Greccio Foundations
- Translate strategic goals into structured project plans and execution frameworks
- Track initiatives, deadlines, deliverables, and milestones across multiple entities
- Serve as a central point of integration between leadership, boards, consultants, and partners
- Anticipate needs, remove friction, and proactively solve operational problems
Project Management & Execution
- Lead and manage cross-organizational projects from concept through completion
- Develop project timelines, workflows, task systems, and accountability structures
- Coordinate internal and external stakeholders
- Maintain dashboards, tracking tools, and reporting systems
- Ensure follow-through, documentation, and completion
Governance & Policy Support
- Support governance processes including:
- Board operations
- Committee coordination
- Policy development
- Governance documentation
- Organizational records
- Assist in drafting, organizing, and managing:
- Policies
- Procedures
- Governance frameworks
- Charters
- Internal operating documents
- Maintain structured governance systems and archives
Executive Office Management
- Manage CEO workflows, priorities, scheduling, and information flow
- Coordinate meetings, preparation materials, agendas, and follow-up
- Organize briefing materials, decision memos, and project documentation
- Serve as a trusted operational partner in daily executive functioning
Enterprise Coordination
- Operate across organizational boundaries with professionalism and discretion
- Support cross-ministry collaboration and alignment
- Ensure consistent systems, processes, and documentation
- Serve as connective tissue between entities and initiatives
Requirements
Qualifications & Experience
Required
- 3+ years of experience in one or more of the following:
- Project management
- Executive operations
- Governance support
- Organizational management
- Complex administrative leadership
- Demonstrated experience managing multiple priorities and projects simultaneously
- Strong organizational systems thinking
- Excellent written communication skills
- High discretion, professionalism, and judgment
- Ability to work independently and proactively
- Experience working in complex organizations or multi-entity environments
- Graduate degree in Public Administration (MPA) or business administration (MBA) may be considered in lieu of experience
Preferred
- Experience in nonprofit, healthcare, education, foundation, or mission-driven organizations
- Graduate degree in Business Administration (MBA), Public Administration (MPA), or Public Health (MPH) or related field
- Familiarity with governance structures and board operations
- Policy writing
- Formal project management training or certification desirable (PMP, Agile, etc.)
- Experience supporting C-suite or executive leadership
