Summary of Position:
Meridian is a non-profit diplomatic center based in northwest Washington, D.C. headquartered on a four-acre property and operates within two elegant, historic mansions surrounded by beautiful gardens. Meridian provides a unique venue for events, corporate conferences or dinners, weddings, special events, receptions, etc.
The Coordinator is responsible for supporting and executing all events while serving as the primary lead for the unit’s accounting and financial responsibilities. This role ensures accurate financial reporting, efficient administrative processes, and smooth coordination of events from start to finish. The ideal candidate is highly organized, detail-oriented, customer-focused, and comfortable managing financial systems and administrative tasks in a fast-paced environment.
This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position may work partially remotely but significant on-site presence is required. The position may also require evenings and weekends.
Position Responsibilities:
- Assist with scheduling, planning, and coordinating all events, including setup, service, delivery, and breakdown
- Maintain updated event sheets (BEOs) and production schedules and coordinate weekly distribution
- Communicate with Event Operations, Facilities and Event Managers on all details, to include proactively resolving any missing details
- Assure all events are accompanied by a diagram created by the assigned Event Manager
- Support day-of event operations when needed
- Maintain complete and accurate financial records for the team, including accounts receivable, preparing invoices, tracking payments, submitting contacts for signature as appropriate
- Assist in creating all final balance invoices, vendor invoices, reconciliations, and expense tracking
- Prepare weekly “Batch Reports” for Finance Department
- Maintain organized record-keeping systems for events, financial documents, and operational files to ensure compliance with internal financial controls, audit requirements, and accounting procedures
- Assist Event Managers with menu signage and place cards
- Complete contract templates and be responsible for client signature via Adobe Sign
- Coordinate vendor orders, deliveries, and purchasing documentation for Events team
- Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines
- Other duties as assigned

Education/Experience
- Associate or bachelor’s degree in business, accounting, hospitality management, or related field preferred
- 1–3 years of experience in catering, hospitality, foodservice, or administrative support
- Any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position
Knowledge, Skills, Abilities:
- Strong understanding of accounting principles and financial reporting
- Proficiency with, Excel, accounting software, and catering/event management systems.
- Exceptional organizational skills and attention to detail
- Strong communication and customer service skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Must be able to work flexible hours as needed , including weekend and Friday evening weddings or other events as needed and appropriate
- Strong inter-cultural communication skills; maturity, cultural sensitivity, and tact suitable for working with individuals from around the world
Technical Requirements:
- Proficiency in Microsoft Office, including Word, Excel and PowerPoint, Outlook and Teams is necessary for this role
- Other accounting software and catering/event management systems is helpful
- Experience with Canva, Zoom and Salesforce is helpful
